Job Summary;

Our client is an Estate agency seeking to recruit for a Receptionist who will be responsible for receiving and attending to clients and visitors. She will be in charge of referring the visitors to the appropriate offices, answering phones, taking messages, sorting and distributing mail. Having excellent written and verbal communication skills, as well as competency in Microsoft Office applications such as Word and Excel. 

Duties and Responsibilities;

  • Receiving clients, attending to queries and offering solutions to both walk-in and call-in clients.
  • Answering, forwarding, and screening phone calls in a professional manner.
  • Using appropriate customer service systems, processes and procedures to resolve client issues.
  • Promptly handling and coordinating all daily customer activity and reporting.
  • Supporting the operations department by following and executing reminders.
  • Exercising empathy, patience and professionalism at all times in responding to customers.
  • Responsible for organization of the office environment, resources and equipment.
  • Assisting with a variety of administrative tasks including copying, faxing, taking notes and making travel plans.
  • Preparing meetings and training rooms.
  • Performing ad-hoc administrative duties.
  • Sorting and distributing mails.
  • Hiring, managing and developing the junior administrative team.
  • Scheduling appointments.
  • Responsible for initiating customer retention drives.

Minimum Qualifications;

  • A Bachelors’ Degree in a Business related field.
  • Competency in Microsoft applications including Word, Excel, and Outlook /Telecommunication systems.
  • High level of integrity.
  • Great interpersonal , customer care and relationship skills.
  • Should have a high level of self –composure and calmness even under pressure.
  • Excellent written and verbal communication skills and organizational Ability.
  • Good time management skills.
  • Prior experience as a receptionist or in related field.
  • Age 22-30yrs.
  • Consistent, professional dress and manner.
  • Experience with administrative and clerical procedures.
  • Able to contribute positively as part of a team, helping out with various tasks as required.
